Contacts and recipients

Contacts provide operational context and reusable recipient data. Depending on page settings, a device can expose both Notes and maintenance and Contacts from its Features menu.

Contact information

A contact can contain fields such as name, email address, phone number, language, and contact type. Available fields and types depend on the organisation configuration.

Add a reusable contact

1. Open the organisation contact settings.
2. Create the contact with a recognisable name and valid communication details.
3. Select the appropriate contact type and language.
4. Save the record.
5. Open the relevant installation or device and attach the saved contact.

Name, telephone number, email, language, and type are stored as contact data; portal access is still managed separately.

How contacts are used

• installation responsibility and maintenance context;
• simple recipient selection in report instances;
• alarm or watchdog message recipient strategies;
• customer-facing communication lists.

Review contacts when an installation changes owner, maintenance provider, or operational responsibility. Remove obsolete addresses from both the contact record and any fixed recipient lists.
